Documentation

Everything you need to add, use and remove the WebinarSignals app in your Zoom account.

Adding the app

1

Create your WebinarSignals account

Go to the sign-up page, register with your work email and enter the 6-digit code we send you to activate the account.

2

Click “Connect Zoom”

On the dashboard, open Data sources and click Connect Zoom. You'll be redirected to Zoom's consent screen.

3

Approve the requested scopes

Review the read-only permissions and click Allow. Zoom returns you to WebinarSignals and the connection is stored encrypted against your account.

If your Zoom account requires admin approval for third-party apps, your Zoom admin must approve WebinarSignals in the Zoom App Marketplace first.

Using the app

1

Select your events

Under Data sources you'll see your past meetings and webinars, with a cloud badge where a cloud recording exists. Tick the events you want analysed.

2

Sync

Click Sync. We pull registrations, every past instance's participant report, and chat/Q&A. A progress panel shows each phase. Use Force refresh to re-pull after changing scopes or after Zoom publishes a delayed report.

3

Read the analytics

  • Overview — portfolio KPIs, tier split and the combined retention curve.
  • Retention — minute-by-minute drop-off so you can see exactly where the audience leaves.
  • Pipeline — a Kanban board of Hot / Warm / Cold / No-show leads, merged across every event.
  • Lead drawer — click any lead for their sessions, watch-time, chat messages, intent signals and AI-drafted email or WhatsApp outreach.

How scores are calculated

Each attendee gets a 0–100 score: attendance 60%, watch-time 25%, chat engagement 15%. Anyone who attended on two or more distinct dates is automatically promoted to Hot — repeat attendance is the strongest buying signal. Buyer-intent signals (pricing, budget, timeline, authority, team size, competitor, objection) are detected from chat and Q&A text. All times are displayed in IST (Asia/Kolkata).

Removing the app

1

Disconnect inside WebinarSignals

On the dashboard open Data sources and click Disconnect Zoom. This permanently deletes your stored Zoom tokens and all imported report data.

2

Remove from the Zoom App Marketplace

Sign in to the Zoom App Marketplace, open Manage → Added Apps, find WebinarSignals and click Remove. This revokes our OAuth authorisation entirely.

Troubleshooting

Common Zoom connection and sync issues — invalid redirect, empty attendance, missing chat — are covered on the support page.
